Transparency with Attendees and Vendors Creates Trust! Over the last 20 years, I’ve learned that one of the biggest mistakes event planners can make is skimping on communication. Confusion and frustration can creep in if your vendors and attendees don’t feel they have clear information. Since many events I’ve produced revolve around cultural celebrations—such as Día De Los Muertos, posadas navideñas, Quinceañera Expos, etc.—I know that transparency is even more crucial. Our culture values relationships and openness, and an event that fosters trust and transparency is an event that everyone will remember for all the right reasons.
Deep Dive
Transparency begins with understanding what vendors and attendees need to feel comfortable. I’ll create a separate blog about transparency with attendees, but it’s still worth briefly mentioning here. Vendors want to know how large the crowd might be, where they’ll set up, and whether bilingual signage will be available to help them promote their products or services. They also need clarity on payment terms, electrical hookups, and sound or cooking equipment rules.
As an event attendee myself, I have witnessed vendors voicing their concerns time and time again about the unorganized elements of the event and/or the lack of communication.

Transparency Guidelines through your Vendor Event Packet:
- It is best practice to provide vendors with clear documentation detailing booth sizes, fees, set-up times, and branding expectations. This should address common concerns such as parking, power access, and permits.
Pre-event Kick-off for Vendors:
- Zoom is ideal for this! This space fosters clear communication, addresses last-minute concerns, and builds rapport. Agenda items should include walkthroughs of the event layout, discussions on logistics, emergency protocols, and Vendor Q&A.
Media Kit & Branded Assets for Vendors:
- A branded Media Kit that includes event flyers, event website links, and social media copy that can be easily modified empowers vendors to effectively promote themselves and your event with a cohesive toolkit. This allows them to see your marketing efforts first-hand and shows your support and efforts for their event-day success.
